  1. Donor Retention Rate

Acquiring new donors is much less cost-effective than retaining your current donors. Research from Arizona State University shows it costs about .20 cents per dollar donated to retain a donor, compared to $1.50 per dollar spent to acquire a new donor. This is why calculating and increasing donor retention is so valuable. 

  • Percentage of donors who continue supporting the organization year over year

  1. Donor Satisfaction Metrics

These metrics provide concrete data on what's working well and where improvements are needed. DXOs can use this data to prioritize their efforts and focus on the areas that will have the biggest impact on donor satisfaction. For example, if feedback consistently points to issues with acknowledgment letters, the DXO can focus on improving the personalization and timeliness of those communications.

DXOs don’t typically solicit donations, but the work they do benefits and contributes to fundraising goals. While these KPIs should not define a DXO’s success, the metrics can be seen as influenced by the DXO. 

  • Total donation amount
  • Average donation size
  • Number of recurring donors
  • Number and size of major gifts

  1. Engagement Metrics

Engagement metrics can be helpful benchmarks for DXOs to understand which tactics need adjusting. By monitoring engagement levels, DXOs can identify different donor types, such as donors who may be at risk of lapsing (i.e., stopping their support). This allows for proactive intervention strategies to retain these valuable supporters.

By having KPIs around engagement metrics, DXOs can gear their initiatives toward optimizing and improving different engagement channels.
